MailRoom Configuration
This document outlines the design and functionality of the Mailroom Configuration module, which includes system settings and user delegation management.
1. Module Overview
The Mailroom Configuration module is the central administrative area for managing core settings and user responsibilities within the mailroom system.
The module has two main sections:
- General Settings – Configure system-wide notifications and visibility of key fields (MRR and TPN) by site.
- Delegation Mechanism – Manage the delegation of responsibilities to ensure continuity of service.
2. General Settings
The General Settings section allows administrators to:
- Configure when users receive email notifications:
- All status changes (default)
- Initiated only
- Delivered only
- Initiated and Delivered only
- Control visibility of key fields (MRR and TPN) by site. Only selected sites can view these fields.

3. Delegation Mechanism
The Delegation Mechanism section allows administrators to assign mailroom responsibilities from one user to another.
Delegation List
Users can see a list of all active delegations with the following information:
- Action – Edit or delete delegation.
- Name of User – The person whose responsibilities are being delegated.
- Delegated To – The person who will take over the responsibilities.
- Include User in CC – Whether the original user should receive email notifications as CC.
Other Features:
- Search Bar – Filter the list by user name.
- Add Record Button (+) – Opens the Add Delegation pop-up.
- Pagination – Navigate the list of entries.

Add / Edit Delegation
When adding or editing a delegation, the following options are available:
- User – Select the person whose duties will be delegated.
- Delegated To – Select the person who will handle the delegated responsibilities.
- Include User in CC – If checked, the original user will receive email notifications in CC.
Save Button – Saves the new or updated delegation record.
Email Notification Logic
When a delegation is active:
- The main notification will go to the Delegated To user.
- If Include User in CC is selected, the original user will also be added to the email CC.
